Exporting address master data

Written by Adrian Berger

Xentral gives you several options for exporting address master data. Which option you choose depends on whether you only need a quick extract or want to process large amounts of data further.

Export via Export Buttons

Navigation: Sales > Addresses > Overview > Address filter > Advanced address search.

Below the address overview, you will find the following buttons:

  • Clipboard – quick copy export, suitable for small amounts of data; formatting issues when pasting may occur.

  • CSV – standard format, suitable for importing into other systems or for further data processing.

  • Excel – practical for analyses, internal tables, or lists.

  • PDF – recommended when you need fixed documents or reports.

  • Print – available when a printer is set up; e.g. for printed lists.

Caution

This option is only suitable for smaller exports. Only the records currently displayed are exported (max. 1,000). For larger amounts of data, use the Import/Export Center.

Export via the Action Menu

Navigation: Sales > Addresses > Address filter.

In the address filter, you can select addresses in a targeted way, save templates, and then export them.

The action menu provides various options, e.g.:

  • Export emails for newsletter (also as UTF-8 variant)

  • Export emails incl. all contact persons for newsletter (also as UTF-8 variant)

  • Export addresses as CSV (also as UTF-8 variant)

  • Export addresses incl. all contact persons as CSV (also as UTF-8 variant)

Data Export via Reporting

The reporting module is the central location for exporting address and other master data. There you can flexibly evaluate, filter, and export your data directly — suitable for analyses, reports, or further processing.

Navigation: Smart Search > Reporting.

Further information can be found in the article Reports (new) - Analyze Your Data.

Export via the Import/Export Center

Navigation: Smart Search > Import / Export Center.

If you need large amounts of data or a complete export of your master data (e.g. for a new system or a data backup), use the Import/Export Center.

A detailed guide can be found in the article Export of master data and company data (data export).
