System (System settings - global settings)

Written by Adrian Berger

In the system settings you will find important Xentral settings that affect the entire system. In these settings you can specify central behaviors or define your business more individually, e.g. information that should be displayed centrally in document types through to performance-relevant system setting options. You will find the following areas in the system settings:

  • Standard project definition and language - set the central standard project for the entire company and the preferred language

  • Item and Product Settings - Settings for the central product search, units and weight settings

  • Comprehensive document settings - e.g. release of documents with interim queries, information density and displays in position tables in the document, individual additional displays e.g. product images, continuation of documents and workflow settings

  • Settings of the Xentral table views - Product and document tables e.g. sales order, invoice

  • Order status indicator - individualization and display of the order status indicators for control

  • Printer - Default printer as a default setting for work steps for your team

  • Other - special module settings, system-wide preferred language

  • Further module settings - e.g. goods receipt, production, time recording, email - special system-wide module settings

  • GDPR settings, security settings

  • System acceleration and limitations - individually according to performance and volume requirements

Edit system settings

You can change and save the settings under Administration > Settings > System > Basic Settings > System.

Project (system settings)

Set the central standard project for the entire company.

Field name

Description

Main project

This project is always loaded by default. Controls the project proposals when creating new addresses and articles as well as business letter templates

Set project public when created

Controls the visibility of the project. The content of public projects is visible to all employees. Overrides the role assignment in the contact master data

Only projects with the right employee role are evaluated

Product (system settings)

Settings for the central product search, units and weight settings.

Field name

Advanced product search (short text)

Allows you to search for content from the 'Kurztext DE' item field in the product overview.

Advanced product search (variants)

Enables variant search. When checked, variants for a searched product will also be displayed.

Advanced product search (Free field 1,2)

Accelerated product search

In the product overview search, only the item number and item description DE are searched. This option overrides the selection of the upper checkbox for product search (e.g., search by Free field / Short text).

Overview of product images

Displays the default product image in the product list view. If no image is stored under Product > Files, a sample image will be displayed. Note: This option slows down the rendering of the product overview and should only be used when few results are displayed per page.

Overview of item tree

Displays the item tree to the left of the product list in the product overview. You can click on a category to filter the product list by that category.

Product units and calculations

Weight from JIT parts list

For JIT (Just-In-Time) bill of materials, only the weight from the main product is used for the sales order protocol and package label printing. If the option is not activated, weights, if maintained, from both the main product and individual items in the JIT bill of materials are summed. In this case, the main product could serve as a packaging component, for example. For a standard bill of materials, only the weight of the main product is used if it is maintained. If no weight is maintained in the main product, then the weight of all individual items is used here as well.

Standard product unit

Displayed for all products, that do not have an individual unit specified in the product details.

Weight unit

Unit in which weight is displayed system-wide. If not otherwise specified, the default weight unit is kilograms (kg).

Conversion factor weight

The conversion factor to kilogram.

For example: For a ton it would be 0.001. For a gram, it would be 1000.

Standard unit length

Unit in centimeter or inch: cm or in

Production (system settings)

Settings for the production module.

Field name

Behavior Forward order to production

Here, the behavior of the bill of materials to be produced is defined when they are to be produced from a sales order:

  • Dissolve sub-parts lists: The sub-parts lists of a bill of materials in production are expanded and displayed.

  • Do not dissolve sub-bills of materials: The sub-bills of materials of a bill of materials in production are not expanded and displayed. Production is limited to the top-level bill of materials.

  • If a bill of materials to be produced also contains bills of materials that are yet to be produced, this setting will create a separate production order for each bill of materials and sub-bill of materials.

Requirements: The bill of materials to be produced is marked as a production product (configurable in the master data of the product).

The bill of materials has been transferred from a sales order to production.

Do not start production automatically when continuing

Production is not automatically started when proceeding from the sales order. The start occurs through the action menu in the respective production.

Complete sub-production with main production

Sub-productions are automatically closed when the main production is completed. You should work on sub-productions in logical order and confirm and close the production as finished last.

Do not use production correction

The closing dialogue with the production correction is not used.

Do not create any production for external production items

For items configured as "External Production," no productions are created when proceeding from a sales order to production. Similarly, no sub-productions are created through the production option "Resolve and create sub-productions."

Create receipts quickly without an intermediate table

Receipts are created directly without a prompt for existing drafts. Without this option, you are directed to an intermediate screen to continue editing existing drafts.

Create receipts quickly without manual approval

Receipts are automatically approved after creation without the document entering draft mode and needing to be approved from there. A document number is assigned directly, and the status is set to approved (currently applicable to quotation, order, invoice, credit note, delivery note, purchase order).

Price and Position

-

Selection of the cheapest sales prices:

In receipts, the cheapest sales price is always proposed. If the checkbox is not selected, the sales price must be explicitly assigned to the individual customer in the product. If this is not the case, the system continues to use the lowest sales price.

Extended position view

The product description is visible in the product view of receipts. Currently applicable to Offer, sales order, invoice, credit note, and delivery note.

Display manufacturer in position view

Sales: from quantity 1

10 Euro

PU 10

Sales: from quantity 10

9 Euro

PU 10

Input of 5: Quantity automatically changes to 10 and unit price to 10.

Input of 13: Quantity automatically changes to 20 and unit price to 9.

Note: A packaging unit quantity must be specified in the price for the function to take effect.

Adjust purchase prices to PU

If the product has purchasing tier prices with PU units, the price and quantity are automatically adjusted based on the entered quantity in the products (purchase order).

Example:

Purchasing: from quantity 1

10 Euro

PU 10

Purchasing: from quantity 10

PU 10

Input of 5: Quantity automatically changes to 10 and unit price to 10.

Input of 13: Quantity automatically changes to 20 and unit price to 9.

Note: A packaging unit quantity must be specified in the price for the function to take effect.

Calculate postage

With this option, the shipping costs of a sales order can be set to 0, making the sales order eligible for free shipping. For this, a price group must be created to which all customers who are eligible for free shipping belong. In the price group, the minimum order value is defined (e.g., €50), from which the sales order should be eligible for free shipping.

Take over from delivery note

Service items do not take over delivery note:

Service items (option in item details) are not included in the sales order for the delivery note in the following actions:

Hide order status indicators (system settings)

Settings for the central item search, units and weight settings.

Field name

Warehouse

Display which products are in stock and available for shipment.

Postage

Display whether the sales order includes a shipping product. The absence of the shipping product (i.e., missing shipping cost calculation) results in a red indicator. Shipping costs can also be entered as zero euros.

VAT

Intra-Community Acquisition. The VAT ID (Value Added Tax Identification Number) of the other business is verified. Otherwise, the tax liability rests with you.

Payment

Has the payment been received or has the sales order been marked as paid (this can also be an automatic marking in the payment method during order import from a shop)?

Cash on delivery

Verification of cash-on-delivery products plus shipping cost products.

Auto-shipping

Approval for an automatic batch logistics process (e.g., shipping process) such as auto-shipping. Depending on the settings, sales orders are transferred hourly or, for example, at 8:00 a.m. If you want to block a completely green sales order, you can control this via the auto-shipping approval.

Customer check

If you want to set up a customer check per sales order, you can control this via this indicator. For example, for high monetary amounts on your B2B project.

Date of delivery

Delivery date has been reached or the delivery date for dispatch from warehouse. If the indicator is green, the sales order can be shipped today.

Credit limit

Setting the credit limit in the customer master data. The credit limit applies when the total of currently outstanding invoices exceeds the entered limit.

Delivery block

Setting a delivery block in the customer master data. The delivery block can be activated. Once a new sales order is entered for this customer number, the status indicator turns red and blocks the transfer to logistics. Alternatively, you could also set the payment method to advance payment. If the sales order comes from a shop, you may not be able to influence which payment method was chosen.

Production

For this sales order, there is a completed production. The goods have been fully assembled/manufactured and stored.

Contacts (system settings)

Settings for the central item search, units and weight settings.

Field name

Sequence buffer

Specifies the order and data that you can directly place in the contacts clipboard using the 'Contacts to Clipboard' button. You can then output the content again using Ctrl/CMD + V.

Address template

Here you can specify an address to serve as a template for newly created addresses (not via the import center). When creating a new address, most fields of the sample address under Contact > Details are adopted.

Acceleration / limitations (system settings)

System performance and process control settings

Field name

Limit document tables

Activates automatically when there are more than 5000 documents + 1 second query duration OR more than 10000 documents in a document overview.

Limited to double the number of displayed items (page 10) - this is only important for the number of found data as well as the number of pages below the live table.

Activating this option is beneficial for performance with large amounts of data.

All documents are still considered in the search; however, the search process is staggered.

Limit product table

It automatically activates when there are more than 5000 products or when the query duration exceeds 1 second, OR when there are more than 10000 items.

If the option is removed once, it will not be automatically set again.

Limit address table

It automatically activates when there are more than 100 open sales orders that need to be checked for automatic shipment.

It takes the oldest sales orders and checks the first oldest 100 sales orders (for Auto-shipping Plus). If there are significantly more, the cron job (auto-shipping_plus) should run more frequently. The standard setting should be 100 - 0 means no limit.

Limit auto-shipping:

Limit automatic shipping to X records. This is the maximum number of sales orders to be checked during automatic shipping (0 means no limit).

  • Automatically activates when there are more than 100 open sales orders that need to be checked for automatic shipping.

  • It takes the oldest sales orders and checks the first oldest 100 sales orders (for Auto-shipping Plus). If there are significantly more, the cronjob (autoversand_plus) should run more frequently.

  • The default setting should be 100 - 0 means no limit.

Dispatch emails and feedback to the shop via process starter.

Number X per run. Emails (0 means no limit).

  • Sends the tracking number to the shop via a process starter.

This is useful when multiple tracking numbers are delivered at once via a fulfiller, and the shop cannot process so many requests at once. Or if the shop API is inherently slow, there is no need to wait long for the shop to process the tracking number when scanning the parcel label.

  • It automatically activates when there are more than 100 sales orders that need to be reported back.

  • Status feedback and tracking to the shop

  • If significantly more tracking numbers need to be reported back, then the cron job (shop_rueckmeldungen) should run more frequently.

Activate quick search

Automatically activates when there are more than 5000 products + 1 second query duration OR more than 10000 products.

Adds a new search field to the product. In this search field, pressing Enter must confirm a search term, preventing unnecessary search requests to the database and avoiding a buildup of search requests that could slow down the search.

Include orders blocked for auto shipping

Calculates the sales order status indicators for blocked orders. Note: a large quantity of non-canceled but blocked orders can significantly slow down the calculation. If you don’t cancel blocked orders as a rule, you should not include the traffic lights in the calculation.

Display filtered by deactivate

Disables the calculation below the overview tables of how many results are displayed from all products. This calculation can lead to significant loading times with many data in the table and should therefore be disabled with the checkbox when there are several hundred thousand data in a table (e.g., items).

Limit process starters:

Maximum number X (Standard 3)

Increase polling time

On X seconds (Standard 5)

Cancel query report

To X seconds (Standard 300)
